Our approach
We collect as little personal information as we can. This website has no account sign-up, no mailing list and no tracking or advertising cookies. Its fonts are stored on the website itself, so opening a page does not contact Google or any other font service.
What we collect
- When you contact us by telephone, WhatsApp or email, or through the forms on this website: your name, phone number, email address (if you give it) and what you tell us about your situation.
- The forms on this website do not send information to us directly. They prepare a message in WhatsApp or in your own email app, and you decide whether to send it.
- When you become a client: the information we need to do the work you ask for, such as financial records. Your engagement letter explains this in more detail.
- Technical information: our web host, GoDaddy, keeps basic technical records of visits to this website (such as IP address, the page requested, the date and time, and the browser used) to run and protect its servers. It keeps them for a limited period under its own policies, which we do not control. See GoDaddy’s privacy policy for details.
- Visitor statistics: we use Cloudflare Web Analytics, from Cloudflare, Inc. in the United States, to count visits and see which pages are read and how quickly they load. Cloudflare states that this service does not collect or use visitors’ personal data, does not use cookies or anything else stored in your browser, and does not “fingerprint” visitors by their IP address or browser details to produce its statistics. We see only totals, never individual visitors.
- When you use the AI assistant (the chat): your messages and the page you are on. See “The AI assistant” below.
The AI assistant
This website has an AI assistant that answers questions about FORTRESSFORT, using the content of this website. It is a computer program, not a person. Using it is never required: you can always call, WhatsApp or email us instead.
- Nothing is sent until you agree. The assistant starts only after you tick the box and send a message. The box is never ticked for you.
- What is sent: your messages, the assistant’s earlier replies in the same chat, and the page you are on. Our website server sends them to Anthropic, PBC, the company in the United States that provides the AI model (Claude), so it can write each reply.
- What we keep: we do not keep a copy of your chat on our server. To prevent misuse, our server counts messages using a scrambled (hashed) form of your internet (IP) address, and deletes these counts within two days.
- What Anthropic keeps: Anthropic’s published policy for its business services is that, by default, it does not use these messages to train its AI models, and that it deletes them within 30 days. The policy allows limited exceptions, for example where a message is flagged under Anthropic’s usage policy, or where the law requires data to be kept for longer.
- In your browser: once you start a chat, your browser keeps it in this tab (session storage), so it stays open as you move between pages. It is deleted when you close the tab, or when you press “Start a new chat”.
- Please do not enter sensitive or confidential details in the chat, such as bank details, ID numbers, passwords or health information. For anything personal, talk to a person on WhatsApp or book a conversation.
- Answers can be wrong. The assistant gives general information, not advice. Please check anything important with our team.
How we use it
- To reply to you and arrange a conversation.
- To provide the services you ask for.
- To meet our legal obligations, for example on tax and record-keeping.
- To keep this website secure.
We will not use your information for marketing messages unless you have agreed to receive them.
Why we are allowed to use it
We process your information only where the law allows it: with your consent, to take steps before or under a contract with you, to meet a legal obligation, or where it is otherwise permitted by the Data Protection Act, 2012 (Act 843).
Who we share it with
We never sell your information. We share it only when needed, with:
- providers who help us run our business, such as our website host (GoDaddy), email and messaging services (for example WhatsApp), the provider of the AI assistant (Anthropic) and our visitor-statistics service (Cloudflare);
- our affiliate licensed professional practitioners, where regulated work is required and you agree;
- authorities, where the law requires it;
- anyone else you ask us to share it with.
Information that leaves Ghana
Some of these providers store or process information outside Ghana:
- Anthropic, which provides the AI assistant, in the United States;
- our web host, GoDaddy, in Europe, where this website is hosted;
- Cloudflare, for visitor statistics, in the United States;
- messaging services such as WhatsApp, which may process messages in other countries, including the United States.
We use providers that protect information, and we take reasonable steps to keep it safe.
How long we keep it
We keep personal information only for as long as we need it for the purpose it was collected, and to meet legal requirements.
- Enquiries that do not lead to work: 12 months after our last contact with you. You can ask us to delete them sooner.
- Client records: we keep client records for at least six years from the end of the financial year they relate to, or longer where the law requires, and then delete them securely.
How we protect it
Access is limited to the people working on your engagement, and we take reasonable steps to protect your information from misuse, loss or unauthorised access.
Your rights
You can ask us to:
- tell you what personal information we hold about you, and give you a copy;
- correct or delete information that is inaccurate, out of date, incomplete or misleading;
- stop using your information for direct marketing;
- withdraw your consent, where we rely on it.
To make a request, contact us at info@fortressfortltd.com or +233 558 488 771. You can also complain to the Data Protection Commission of Ghana.
